Account Documentation Checklist
Individual Doing Business
- Business License (Current)
- Certificate of Registration (If any)
- Business Plan or 12 Months Financials
- Primary I.D.- PASSPORT or VOTER’S CARD <mandatory> and a Secondary <Driver’s License or NIB Card> for all Signatories
- Utility Bill or Current Voter’s Card (showing personal &/or business address)
- 1 credit reference on all Signatories
- 1 credit reference on the business (if it is an existing business)
- BASA – Business Account & Services Application (to be completed by branch)
Partnership
- Current Business License (showing both individual names trading as)
- Certificate of Registration <if any> (showing both individual names trading as)
- Business Plan or 12 months financials
- Personal IDs- 2 forms of ID - PASSPORT or VOTER’S CARD <mandatory> and Secondary ID <Driver’s License or NIB Card> for all Officers and Signatories
- Partnership Agreement <if any>
- Utility Bill or Voter’s Card (showing proof of personal address as well as the business address if there is a storefront)
- 1 Credit Reference for each Signatory
- 1 Credit Reference for the business (if an existing business)
- BASA - Business Accounts & Services Application (to be completed by Branch)
Corporate Entity
- Current Business License
- Certificate of Incorporation
- Current Certificate of Good Standing (if incorporated for more than a year)
- Memorandum and Articles of Association
- Current Certificate of Incumbency (with company’s seal affixed)
- Current Register of Officers (Registrar General Stamp affixed)
- Current Register of Directors (Registrar General Stamp affixed)
- Current Register of Shareholders (Registrar General Stamp affixed)
- Current Year Annual Return/Statement (Registrar General Stamp affixed)
- Resolution authorizing the opening of account at Scotiabank, Carmichael Road Branch (with company’s seal affixed)
- Business Plan
- Business Accounts & Services Application (BASA) - Branch will complete
- 1 Credit Reference Letter on all Signatories, Officers, Directors and Shareholders of the Company (if non Scotiabank customer)
- 1 Credit Reference Letter on the business (if an existing business)
- 2 forms of ID’s for all Signatories, Officers, Directors and Shareholders of the Company - Primary: Passport or Voter’s Card; Secondary: Driver’s License or NIB Card.
- Proof of address for all Signatories, Officers, Directors and Shareholders of the Company - Utility Bill or Voter’s Card.
- Proof of address for the Business; if storefront.
- Utility Bill
- Lease Agreement
Fraternals, Societies, Lodges, Associations, Clubs, Churces, Charities/Non-Profit Organizations Etc.
- Business Accounts and Services Application (BASA). Completed by Bank.
- Copy of the Minutes where it was decided to open an account with Scotiabank, Carmichael Road Branch.
- Original Resolution or the equivalent mandated document authorizing the opening of an account with Scotiabank, Carmichael Road Branch and conferring authority on the individuals who will operate the account. Fully describing (but not limited to) the following:
- Date of meeting
- What was resolved
- Authority to open account and where
- Specifics as to the signing authority
- Position/Title of the individuals to handle/manage the bank account
- Signature of authorized officer(s) - Copy of the By-Laws or other equivalent document which sets out the Governing rules of the Organization.
- License Granted Under Section 59 of The Companies Act or equivalent document confirming the registration of the Organization.
- Certificate of Foundation’s Registration or equivalent document evidencing the legal existence of the Organization (if applicable).
- IDs - Passport or Voter’s Card (primary) and NIB or Driver’s License - (secondary) for:
- All Signatories;
- Founders of a Foundation;
- All Directors
- Any other person or third party who provides funds for the foundation;
- Individual Trustees;
- Protectors, Vested Beneficiaries - Proof of home (permanent) address for all parties identified above. (Utility Bill or Voter’s Card)
Note:- While original documents are preferred, you may have them notarized by your Attorney.
